PRE-EVENT PLANNING
Call the Civic Center office at 252-247-3883 for an appointment to discuss your meeting, event or wedding needs with the Event Coordinator about policies and availability. There are several options of space; one large open exhibit area (main hall) that can be divided into four (4) separate meeting rooms. The upstairs level can also be used as one large room (33' x 73') or be divided into three (3) smaller meeting rooms. It can also be used as a dressing area for bridal parties, or fashion show changes. See floor plan. A conference room for 15 is available in the staff office building; with phone, fax & computer access. Rental rates vary with amount of space needed for the event plus any additional equipment required. Non-profit, Commercial, Government rates are available.

FLOOR PLAN
Make sure your group or organization has agreed as to how the event is to be arranged regarding the set up of tables, chairs, staging, head table etc. Together with the Event Coordinator, you will be asked to provide a "sketch out" of your set up requirements. The civic center offers one set-up in the contract. the maintenance crew will arrange the room exactly as you specify. If, upon arrival you wish to change the set up, you will be responsible for the change over or be charged $50 per hour for labor. If there is an additional set up on the outdoor plaza there will be a fee of $250.

EVENT PROGRAM
If your group has a Program for the event, please file a copy with the civic center office as soon as it is available. This is extremely helpful in scheduling clean up during breaks or giving information to outside calls.
Please let the office know of the exact times the event/meeting will be held.

AUDIO VISUAL EQUIPMENT
Limited Audio visual equipment is available, notify the civic center two (2) weeks prior to your event what your needs are.
We will be glad to assist in arranging for any necessary equipment needed if we don't have it in house.
Our equipment: Full house Public Address System; overhead projector; (3) Projector Screens; lavalier mic; wireless mics; wireless internet. Wireless Internet is available by registration only. Call the office immediately when wireless is needed.

CATERING
The civic center can provide you with a Catering List of approved professional caterers. The name of the caterer selected must be filed with the civic center office before the event. We must know the set-up requirements needed for serving food, time of arrival and departure. The caterer is responsible for cleaning the kitchen after the event. Please have the caterer contact the Civic Center office for specific needs or questions.
If a professional caterer is not used during the event but the kitchen facility is needed, there is a $150 kitchen fee. This fee includes use of all kitchen equipment including ice. Please let the Civic Center office know who will be using the kitchen, so a walk through can be arranged. Items such as table coverings, dining utensils, cookware, decorations, extension cords, kitchen towels and tape, etc are the responsibility of the client and/or caterer.

ALCOHOL
Alcohol is permitted to be served during an event, however, we do not have an in-house ABC permit. It is the client's responsibility to secure the ABC permit in his/her name or organization. By calling the ABC Commission in Raleigh, (919)-779-0770, they will send you the appropriate application for your type of event; or visit their website at www.ncabc.com and a form is available under "Permits".There is a processing fee of $50 for the license. This license must be filed with the civic center office one week prior to the event. ALL EVENTS ARE REQUIRED TO SUPPLY A PERMIT IF SERVING ALCOHOL.

GLASS BEER BOTTLES ARE NOT ALLOWED.

INSURANCE
It is the responsibility of the client to secure a Certificate of Insurance claiming The Crystal Coast Civic Center, Carteret Community College Board of Trustees and the Carteret County Board of Commissioners as additional insurers. This requires a simple phone call to your insurance company. A form with our requirements can be sent to you or your insurance company. For weddings/receptions and smaller events the Civic Center can provide liability coverage for $175.

If your event requires an ABC permit, it is also recommended that liquor liability insurance be obtained. This would be at the expense of the client. Please inquire with your insurance company concerning this insurance. If you choose not to obtain this insurance a waiver must be signed prior to your event stating that you have been informed that you are not covered by insurance for any injuries incurred by alcohol related incidents.

HOTEL/MOTEL AND OVERNIGHT ACCOMMODATIONS:
*The Carteret County Visitors Center 252-726-8148 or 1-800-SUNNY-NC can give you availability information on overnight accommodations in Morehead City, Beaufort and Atlantic Beach, Pine Knoll Shore and Emerald Isle. For convenience, there is lodging within one mile of the center: The Hampton Inn, Quality Inn, Holiday Inn Express and Econo Lodge.

County wide there are 3,321 Cottage/condo units, 2,450 Hotel/Motel rooms and 127 Bed & Breakfast rooms.

* Information on entertainment, restaurants, golf courses, historical sites, deep sea fishing and boat trips can all be obtained through the Visitor's Center.

SECURITY
Security Guards are required at events that have an open bar and exceeds 100 people. We recommend one Security guard per 100 people. The Civic Center Director has the right to hire the security at the clients expense.

Fireworks
Sparklers and fireworks that do not leave the ground are permitted.

Any Fireworks that leave the ground are illegal in North Carolina. Only people who are trained and insured with a million dollar liability policy are permitted to set off this type of fireworks. These companies are for hire.

Smoking
The Civic Center building is a non-smoking facility. There is an outside patio where smoking is permitted.
